Direct and inter-library loan services are governed by the Regulations on State Public Libraries (Presidential Decree No. 417 Articles 50-60 of 5 July 1995) and the Library’s Internal Regulations.
LOCAL OR DIRECT LENDING
In local lending it is the user himself who makes the request for the material that the library can lend.
Opening hours for collection and return of lent books:
Ordinary timetable: monday to friday, 8.30 a.m. – 2.30 p.m.
Summer timetable: monday to friday, 8.30 a.m. – 1 p.m.
Admission
Italian, EU and non-EU citizens with the following requirements are eligible for the local or direct loan service:
– Those who are 18 years of age or older
– Those who hold a library access card (Minerva Access)
– Italian citizens resident in the Lazio Region
– Italian citizens residing in other regions who can document their domicile in Lazio for study, research or work purposes.
– EU citizens who can document their domicile in Lazio for reasons of study, research or work.
– Nationals of non-EU countries in possession of a residence permit issued by the Regional Police Headquarters who can document residence in Lazio for study, research or work purposes.
Any change in the domicile, residence, telephone number or e-mail address of the borrower must be notified to the Loan Office without delay.
How to submit a loan application
Loan requests can only be made via the Library’s online service system (Minerva Access).
No telephone inquiries are accepted.
Object of the loan, duration, penalties
Volumes published less than 100 years ago may be borrowed.
All volumes in poor condition are excluded from lending. In addition, various volumes are excluded from lending on the basis of their type, their characteristics and the fonds to which they belong (Works excluded from lending).
Three works can be borrowed for a total of four volumes.
The loan lasts for 30 days and can be extended, if there are no reservations, for the next 30 days. The library has the right to demand the return of the document at any time.
Users who are late in returning loaned works are sanctioned according to the loan regulations.
The service is suspended 15 days a year to allow for the review of registrations made (dates will be communicated on the site).
Proxy for volume collection
It is possible to delegate a person of one’s choice to collect the volumes requested on loan, but only if the requesting person is already registered and authorised to use the service at the Casanatense Library. The proxy must be scanned and sent to the Distribution Office, with a copy to the Loan Office. Alternatively, bring the printed proxy directly to the distribution desk.
The proxy must be signed by the delegating party and must bear the date of the day on which the delegate comes to pick up the books; the proxy must also bear the name and surname of the delegating party and the delegate, details of their identification documents (the originals must be shown at the distribution desk), author, title and location of the volumes requested on loan.
INTERLIBRARY LOAN
In interlibrary loan, books from one library are lent to another library, which then delivers them to the requesting user.
- Interlibrary loan is used by users who, not being in Rome or the surrounding area, but in other parts of Italy, cannot physically go to the Casanatense Library to pick up and return their loaned volumes. Conversely, interlibrary loan may also be used by those users who have no difficulty in reaching the Casanatense and want to borrow books not owned by our library, but by other Italian libraries.
The user who wants to use the interlibrary loan service must be registered with the local or direct loan service.
The requesting library can request works on loan from the lending library via the ILL SBN system (only for Italian libraries participating in the procedure) or via a simple email to be sent to the Loan Office (b-casa.prestito@cultura.gov.it).
Costs
The service is on payment: if the Casanatense is the lending library, at the moment of the return of the volumes the user will pay € 4,63 (if the request to the Casanatense was sent by the user’s library through the ILL SBN system) or € 5,17 (if the request to the Casanatense was sent by the user’s library by e-mail) on the slip sent by the Casanatense together with the lent books. The receipt of payment must be attached to the material to be sent by post to the lending library.
Payment for books lent by our library is made by postal account no. 871012 made out to the Bank of Italy Provincial Treasury of the State Section of Rome Chapter XXIX, Chapter 2584 art. 3 in favor of the Casanatense Library of Rome with the reason “interlibrary loan.”
When volumes from the lending library have to be returned to the latter, the postage costs are borne by the requesting library.
How to do it
The volumes admitted or excluded from interlibrary loan are the same as those admitted or excluded from local or direct loan respectively.
The user must apply to a library of his choice, provided this library is present within the borders of the national territory. The user indicates to this library the volume or volumes from the Casanatense Library he wishes to borrow. Then it will be the library of the user’s trust, and not the user himself, who will forward the request to the Biblioteca Casanatense, which will send the volume or volumes indicated by the user to the library by post. When the loaned material arrives at the user’s library of trust, the user may collect the volumes sent by the Casanatense from it.
Thus, in interlibrary loan, the loan of Casanatense books is made to the receiving library, which will then deliver the material to the user.
The loan lasts a maximum of 30 days (from the date of receipt of the postal envelope with the volumes), which can be extended for a maximum of another 30 days after the first.
The extension request cannot be made by telephone, but must be in writing and sent to the Loan Office.
Thanks to inter-library loan, not only can books owned by our library be borrowed from other Italian libraries in order to get the volumes to the requesting user who is far from Rome, but also works not owned by the Casanatense can be borrowed from our library to other Italian libraries in favour of users who have an easier time reaching our library to pick up and return the volumes.
In the latter case, the user contacts the Casanatense Library, indicating the library and the material he/she is requesting to borrow. In turn, the Casanatense forwards the interlibrary loan request to the library that owns the volumes indicated by the user.
