The Casanatense Library lends material from its collections for temporary exhibitions or events of significant scientific and cultural value, in Italy and abroad, to public or private entities in associated form.
In order to request one or more works on loan, the request must be addressed, at least 6 months in advance, to the attention of the Director at the email address b-casa.mostre@cultura.gov.it accompanied by the project or scientific plan of the exhibition, the standard facility report and the list of works requested. The Director, in agreement with the Exhibitions Office, will assess the request in relation to the state of conservation of the works, the security guarantees offered by the exhibition venue and the scientific value of the project, and will then send a reasoned statement of assent or refusal.
Within 120 days of the opening of the exhibition, the Exhibitions Office will request authorisation for loan from the Direzione Generale Biblioteche e Diritto d’Autore by sending: the loan request from the organising body together with the relevant documents, the letter of consent from the Library and the movement sheets for the cultural assets signed by the Library and the organising body. In the case of exhibitions abroad, the Direzione Generale applies to the Ufficio Esportazione for a temporary export licence.
The organising body must be able to guarantee the correct conservation of the items for the entire duration of the loan and maximum security during the transfer operations, and will therefore be responsible for transport costs, any incidental expenses (e.g. restoration, making security copies, making passepartouts, etc.), as well as ‘nail to nail’ insurance cover: please note that the granting of the licence is conditional on the applicant’s insurance of the items and goods, for the value indicated in the application. In the case of exhibitions and events on national territory promoted by the Ministry or, with state participation, by public bodies or institutes, the insurance provided may be replaced by the state guarantee.
Finally, the Exhibitions Office is responsible for drawing up the condition report, managing the collection and delivery of the goods requested on loan and acts as courier for the setting up and dismantling of the goods at the exhibition venue.
For the purposes of conservation and public use requirements, the maximum duration of the loan is 3 months; an extension request may be submitted and will be evaluated by the Management on a case-by-case basis.
