REQUESTING REPRODUCTIONS AND APPLYING FOR PERMISSION TO USE THEM
It is possible to request the digital reproduction of documents kept at the Casanatense Library. The operational service is outsourced to an external company that produces and delivers the copies by e-mail upon advance payment by the user. Reproductions are made by a professional photographer.
Permission for the use of reproductions may also be requested. To publish or use in any other way (e.g. for display in exhibitions, etc.) photographs taken from manuscripts, printed books and any other material of the Biblioteca Casanatense (including images taken from the library’s website), please fill out the appropriate form available HERE.
Both requests for reproductions and requests for permission to use them (complete with the above-mentioned annex) should be sent to the Reproductions and Publishing Rights Office by writing to the following email address

For the reproduction request, the user will receive an email in which the library authorises the reproductions. The same email contains the contact details of the external company making the reproductions, which will send the user the cost estimate.
When requesting permission to use reproductions, you will receive this document as soon as possible.
What can be requested and in what format
Any document in good condition is reproducible. Depending on the type of original material, the methods and the maximum amount of reproductions possible change.
Material published from the 20th century onwards may be reproduced by the photographer of the external company working for the library at low, standard (i.e. medium) or high resolution. The reproduction of modern material may be subject to the limitations that Law 633/1941 applies to works protected by copyright. In particular, Art. 68 of the cited standard allows a maximum number of pages equal to 15% of the entire volume to be reproduced. Upon making the request, the reader agrees, under his or her own responsibility, to comply with the constraints established by copyright law and to use the copies solely for personal and scholarly purposes.
Books published before 1900, manuscripts, engravings, large-format documents and some texts stored in special collections can only be reproduced by the photographer of the external company working for the library at standard (i.e. medium) or high resolution.
How to do it

The request must indicate not only the details of the material to be reproduced (author, title, edition, location and sheets or pages to be reproduced), but also the resolution and format that the reproductions must have and the purpose of the reproductions (for study and personal use, or for publications and exhibitions, or for commercial and profit-making purposes).
The more timely the request, the faster the file will proceed.
Costs
For reproductions that are to be published in print or electronic format (e-books, websites, etc.), it is necessary to apply to the Library’s Reproductions Office not only for reproductions (if you do not already have them), but also for a specific authorisation, which may be free of charge or for a fee. In the latter case, an economic fee must be paid for the use of publishing rights.
Under current legislation, the user only has to pay for clearance if the reproduction is used for blatantly commercial and profit-making purposes.
The authorisation is free of charge if the reproductions are to be published in books and academic, scientific or even simply for cultural, popular and news purposes.
Even in the case of exhibitions and displays, the use of reproductions is free of charge if they are events of cultural interest and purpose. The fact that an admission fee is charged does not alone have relevance to define the event as a profit-making initiative.
The cost of reproductions varies depending on the format and resolution, which can be low, standard (i.e. medium) or high.

Payments
The user, after sending his request and receiving the library’s authorisation to carry out the work by email, will receive a cost estimate by email, without any commitment on his part. Within the estimate, the applicant will find the method of payment to the concessionaire, i.e. the external company working for the library.
Once payment has been made, the required reproduction and delivery operations will start.
Copy addresses
Digital reproductions are delivered by email.
Without prejudice to the Library’s supervisory and control function regarding compliance with the general terms of the service, for the execution of the operational part (payment, scanning and delivery) users will deal directly with the concessionaire company through the contacts that the library will communicate to them in the email containing the authorisation to make reproductions.
What cannot be done
No photocopies or microfilm can be requested, as these modes of reproduction are not supported by the concessionaire.
REPRODUCTIONS MADE BY THE USER HIMSELF USING HIS OWN EQUIPMENT AND LIBRARY SCANNERS
As of 29 August 2017, users may also make reproductions by themselves and with their own means, in compliance with current copyright legislation and the provisions of Article 108 of the Cultural Heritage and Landscape Code.
The user may use cameras, mobile phones and the like, but may not use flashes, tripods, stands, their own light sources, devices that require physical contact with the material to be reproduced.
For all works, with the exception of manuscripts, the user can also make reproductions with a scanner at the special workstation in the Catalogue Room.
REPRODUCTIONS ALREADY PRESENT IN A LIBRARY DATABASE
In the event that the requested digital reproductions already exist and are stored in the library’s databases, their prices are set by current legislation according to certain parameters (see Ministerial Decree of 21 March 2024).

Important: Deposits in currencies other than the Euro, and those in Euro arranged by countries outside the European Monetary Union, must be made in favor of the Bank of Italy, which uses a number of foreign correspondent banks. The Library will indicate the modalities in specific cases.
Once the payment has been made and a receipt of payment has been sent to the Reproductions Office, the requested digital reproductions will be sent to you by email.
